With urgent patient cases, I’d set expectations with physicians by being direct and clear. I’d prioritize updates—quickly flagging critical needs and timelines. I’d outline what I can handle (e.g., data pulls, drafts) and what I need from them, keeping it minimal. I’d agree on realistic deadlines upfront, factoring in their crunch. Regular, short check-ins keep us aligned without wasting time. Clarity and reliability under pressure build confidence in the process.

I agree it is critical to set clear expectations and to meet the patient need timely and with quality care. You also need to help the physicians understand how they will manage the normal workload when having extensive interruptions in their regular clinic work flow. Having this happen repeatedly leads to hesitancy to respond and burnout.

Clear and honest communication is key. I make sure to give physicians a quick but accurate picture of the situation, prioritizing what they need to know first. If things are piling up, I set realistic expectations about timing while assuring them that everything is being handled as efficiently as possible. It’s all about teamwork—staying calm, being direct, and making sure patients get the best care without unnecessary stress for anyone involved.
