People like to be heard instead of dictated to; often, the best answers come from surprising places! Make crafting the plan a group effort. Your department is not a democracy. You are still the boss; most people want to be (lovingly) led. Come to the table with your own plan as a starting place and be willing to change or scrap it as needed. When the team members "feel heard," they're much more likely to support the plan enthusiastically.

    Start at the end, the deadline, and work backwards until all the steps are on a timeline. Identify the critical path steps that have multiple dependencies and also those steps that have the highest risk of unexpected delays and de-risk those steps. Identify steps to start earlier and move out of the critical path, challenge “we always did things this way”. Challenge the status quo, if steps can be eliminated, started earlier of simplified. Don’t underestimate the power of new technology and be sure the team has input into developing the timeline so that they “own” the deadlines and will commit to meeting agreed milestones. Then be sure milestones are monitored so that issues or delays are identified early and remediated.

    In order to motivate your staff re prep for reports in time we have a firm plan for the week and then a month and close up to the report! A/ Have an agenda and date all details! B/ mandate that plan! C/ Assignments to each group and its group leader and - a dead line! D/collect all piece works and assembling the collective report! Well prepared, well audited by all staffs- booking, accounting, sales and IT Staffs! Success and in time! AI, accounting software incorporate with productivity and costing software can be provided and help your staff to stay timely efficient!
