While actively participating in several hardware projects, I have realized that there are specific best practices when it comes to the relationship between a project and its vendors. I always start by documenting clear technical requirements using simple diagrams and specifications, shared through Google Docs to keep everyone on the same page. Regular meetings help catch issues early, while using basic project management tools like Trello lets us track progress without overcomplicating things. I've found that being upfront about our budget constraints and project deadlines, while maintaining professional but friendly communication, goes a long way.

To ensure smooth hardware development with external vendors: Communicate clearly: Use detailed specs, regular meetings, and shared documentation. Manage the project well: Define roles, set timelines, handle risks, and track progress. Have a clear contract: Outline all terms, including intellectual property. Build good relationships: Choose reliable vendors and communicate openly. Focus on technical quality: Do design reviews, testing, and quality control. Use helpful tools: Employ project management software, version control, and communication platforms.

Communication is the most important in any partnership. This does not mean communicating constantly, just consistently; weekly, biweekly, or whenever you get your next shipment. Let your vendors know what you are doing with their products and perhaps appeal to their Business Moto when possible. Often if you find a use for a product that a vender didn't think of, they'll be grateful and curious to know just how they can help tap into the same market. In the world of business every relationship can extend further than it's initial purpose. When you include others on your vision and see ways for them to be involved, you're just building a stronger business connection for everyone to do better. This will also help them scale with you.

What I find the Contract (NDA?) that sets objectives, set success criteria (KPI or Ker Results) of the partnership. Critical is to establish efficient communications channels, good tech documentation is vital, confirmed r&r of individuals is important.
