    It is important to identify all the stakeholders involved during the commencement of the project. And with the stakeholders identified, the role & responsibility of each stakeholder must be clearly defined. An RACI matrix shall be established to determined which stakeholder shall be responsible, accountable, consulted and informed various events. The is to ensure transparency in the approval procedure, as well as the communication between stakeholders. In this example of material changes, the relevant responsible/accountable stakeholder's approval must be obtained while the remaining shall be consulted and informed acccordingly.

    Any material changes on the project should go through a proper channel in compliance with the Project documentation for such changes. The change of material should clearly be documented and reflecting a change from a preferred vendor in the specifications, if any, to an alternate vendor. This should have a full comparison of the alternate material being proposed to the specified one indicating the changes. The proposed change should reflect the material origin, estimated time of delivery, change in the FAT/QA-QC procedures, vendor compliance to ISO's besides expertise of the vendor in producing such material and its suitability to the geographical area. Such changes should be discussed with the stakeholders either in person or online.
